Good things to mention on your call

None of this needs to be written down. It just helps us understand your team.

  • How often you pay, and how many people are on payroll
  • Shift work: nights, weekends, on-call, or PRN staff
  • More than one location, or staff working in the field
  • The scheduling, timekeeping, or accounting software you use
  • Whether you'd like help with benefits or HR, too

Payroll, benefits, or both

Choose what fits your organization. Benefits don't require changing payroll, and payroll doesn't require a bigger arrangement.

Payroll only

Payroll processing for your staff, which can include payroll tax filings, without changing your benefits or how you manage your team.

Standalone employee benefits

Health and other employee benefit options set up on their own, whether or not you change how you run payroll.

Payroll with broader HR support

Often arranged through a professional employer organization (PEO): an outside company that shares certain employer tasks with you, such as payroll and benefits administration. You still run your organization and direct your team.

Common questions

What happens on the introductory call?

It's a free 15-minute conversation about your organization, your staff, and what you need help with. The call may be with PayMyCareTeam or with a representative from one of our provider partners. You don't need any payroll documents to start.

When would I share payroll documents?

Only if you decide you'd like a proposal. The provider will tell you what it needs to prepare one. Nothing like that is collected through this website.

Do you need any patient information?

No. We only need to understand your organization and your staff. Please don't include patient information in the callback form or in emails to us.

How does switching payroll providers work?

The process depends on your current setup and the provider you choose. Before making a change, confirm who handles setup, which payroll records are needed, and the timing of your first payroll. Also clarify who handles outstanding tax filings and year-end forms. Your introductory call is a chance to discuss the transition; no payroll documents are needed for that first conversation.

Can I get payroll or benefits on their own?

Yes. You can look at payroll only, employee benefits on their own, or payroll with broader HR support. See how the options differ.

Is my organization too small?

Smaller practices and agencies are welcome to reach out. Which arrangements are available depends on the provider and your situation, so we'll explain your options once we understand your organization.

Who is PayMyCareTeam?

PayMyCareTeam is an independent sales business. We don't process payroll ourselves. We work with provider partners, learn what your organization needs, explain the arrangements available, and coordinate answers and proposals until you've made a decision. More about us.

Who do I contact when I need help with payroll?

PayMyCareTeam helps you understand your options and coordinates answers and proposals with the provider while you decide. Before you sign up, confirm who will handle your ongoing payroll questions, how to reach them, and how urgent issues are escalated. Your day-to-day support arrangement depends on the provider and service you choose. For what to ask about mistakes, tax notices, and who does which payroll tasks, see payroll options.

Does the introductory call cost anything?

No. The introductory call and any proposal are free, with no obligation to switch. If you choose a provider's service, that provider's fees are separate and are set out in its proposal.

What fees should I ask about before choosing a payroll service?

Ask for a written breakdown of what is included and what could cost extra. Items to confirm include setup, recurring charges, per-employee fees, additional payroll runs, year-end forms, and cancellation terms. Not every provider charges separately for these items. PayMyCareTeam helps coordinate pricing questions with the provider so you can review the proposal before deciding. For the full list of cost items and other questions to ask, see our guide to choosing a payroll service.
